At WealthFlow, we believe trust is everything. Our platform is designed to help financial professionals prospect smarter using AI-powered insights, personalized outreach, and workflow automation — while keeping your data secure and under your control.
Here is what we collect, how we use it, and the choices you have.
What WealthFlow Does
WealthFlow is an AI-powered prospecting and engagement platform for wealth professionals.
Our AI agents help users:
- Understand professional profiles
- Identify prospect and wealth service alignment
- Prioritize high-value opportunities
- Create personalized outreach
- Manage engagement workflows
To make this work, WealthFlow processes information that users choose to provide or access through the platform.
Your Data
Information you add to WealthFlow—including contacts, notes, outreach content, workflows, and related business information ("Customer Data")—belongs to you or your organization. You decide what to bring into the platform and how it is used in your day-to-day work.
As between WealthFlow and the user, Customer Data—including information the user imports, submits, or otherwise provides to the Services—remains the property of the user or the user's organization, subject to any applicable rights of third parties. AI-generated outputs created specifically from that Customer Data for the user's use likewise belong to the user or the user's organization.
AI-generated content and recommendations that WealthFlow creates specifically from your Customer Data for your use—including professional profiles, opportunity analyses, outreach messages, call scripts, workflow recommendations, and similar customer-specific outputs—also belong to you or your organization.
The user is solely responsible for determining what information to import into WealthFlow and for ensuring that the collection, import, use, and processing of that information complies with applicable laws, contractual obligations, and the terms of any third-party platforms or services from which the information is obtained. WealthFlow processes Customer Data solely at the direction of the user and does not independently verify the user's rights to access, import, or use such information.
WealthFlow retains all right, title, and interest in the platform, software, source code, databases, algorithms, AI agents, prompts, prompt libraries, models, methodologies, workflows, scoring techniques, trade secrets, and all other intellectual property used to provide the Services. Your ownership of Customer Data and AI-generated outputs does not grant any ownership rights in the underlying WealthFlow platform or its intellectual property.
Subject to this Privacy Policy and the applicable Terms of Service, you grant WealthFlow the limited rights necessary to store, process, analyze, and use Customer Data and customer-specific AI-generated outputs solely to provide, secure, maintain, support, and improve the user-facing functionality of the WealthFlow platform.
Information We Collect
Information may also include publicly available professional information that users choose to access through the platform as part of their prospecting and engagement workflows.
Information You Provide
When you use WealthFlow, you may provide information such as:
- Name and email address
- Company and professional details
- Contacts and prospect information
- Notes and outreach content
- Messages and engagement activity
- Account and billing information
Connected Email and Calendar Services
WealthFlow allows users to connect supported email and calendar providers, including Google Workspace and Microsoft 365, to support user-directed communications and scheduling.
When you connect one of these services, WealthFlow requests only the permissions necessary to provide the features you choose to enable.
Email and Calendar Data We Access
Depending on the provider and permissions you authorize, WealthFlow may access and process:
- The sender account, recipient email address, subject, message content, and related information needed to send an email from your connected account after you review and authorize it
- Calendar-event information needed to create, update, or manage meetings on your behalf, including event titles, descriptions, dates and times, attendee email addresses, meeting details, and event status
- OAuth authorization tokens and basic account identifiers needed to authenticate your connection and perform the actions you authorize
For Google Workspace, WealthFlow currently uses Gmail only to send user-authorized email and does not access or read your Gmail inbox, Gmail message history, Google Contacts, or Google Drive files.
WealthFlow does not currently create or use aggregated, anonymized, de-identified, or derived datasets from connected email or calendar data for purposes separate from the features you enable.
How Connected-Service Data Is Used
Information obtained through connected email and calendar services is used only to provide and improve the user-facing features you choose to enable. This includes:
- Sending individual emails that you have reviewed and explicitly authorized
- Creating, updating, and managing calendar events and meeting invitations
- Displaying the status and results of those actions within WealthFlow
- Maintaining and securing your connected-service authorization
Connected-service data is not repurposed for advertising, advertising or marketing audiences, lending or creditworthiness decisions, data brokerage, unrelated profiling, unrelated commercial purposes, or the development, improvement, or training of non-personalized artificial intelligence or machine-learning models.
How Connected-Service Data Is Shared
We do not sell information obtained through connected services.
Connected-service data may be processed by trusted service providers only as necessary to host, operate, secure, and support WealthFlow; deliver the functionality you request; comply with applicable law; or protect the security and integrity of the platform.
These providers may include cloud-hosting, database, security, logging, and infrastructure providers operating on our behalf and subject to appropriate confidentiality and data-handling obligations.
We do not transfer connected-service data to advertisers, data brokers, information resellers, lending providers, or other parties for unrelated commercial purposes.
Raw, aggregated, anonymized, de-identified, or derived connected-service data is not transferred to third-party AI or machine-learning providers for the purpose of training their generalized models.
You may disconnect a connected service through WealthFlow or revoke WealthFlow’s access through your provider account at any time.
Connected-Service Compliance
WealthFlow applies the same privacy and data-protection principles across supported connected services.
For Google Workspace, the use of raw or derived user data received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
For Microsoft 365, WealthFlow uses connected-service data solely to provide the functionality authorized by the user and in accordance with applicable Microsoft terms and this Privacy Policy.
Platform Usage Data
Like most modern SaaS products, we collect limited operational information such as:
- Browser type and general device characteristics (for example, mobile or desktop)
- Session activity
- Performance diagnostics
- Usage analytics
- Cookies and authentication data
This helps us improve reliability, security, and the overall experience.
How We Use Information
We use information to:
- Operate the WealthFlow platform
- Deliver AI-powered recommendations and insights
- Personalize prospecting workflows
- Improve platform performance
- Maintain security and prevent abuse
- Support connected workflows and automations
- Provide customer support
- Communicate product updates and service notices
AI Features
WealthFlow uses artificial intelligence to help users work more efficiently.
AI capabilities may include:
- Learning about professional and prospect profiles
- Identifying prospect and wealth service alignment
- Personalized message generation
- Outreach recommendations
- Workflow suggestions
- Engagement insights
AI-generated recommendations and content are probabilistic in nature and may not always be accurate or complete. They are meant to assist you, not replace your judgment. Please review communications and decisions before you rely on them.
Connected Platforms
Some WealthFlow features may allow users to access third-party platforms, such as LinkedIn, through a browser workspace dedicated to the user.
These experiences are meant to bring your everyday tools alongside AI-assisted workflows in one place—without changing the fact that each platform sets its own rules.
Use of third-party platforms remains subject to those platforms’ own terms and privacy policies.
Connected Service Compliance
WealthFlow is committed to protecting information obtained from connected services and uses that information only to provide the user-facing functionality requested by the user.
For Google Gmail and Calendar, WealthFlow's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
For Microsoft 365 / Outlook, WealthFlow uses connected service data solely to provide the functionality requested by the user and in accordance with the applicable provider terms.
Data Retention
We retain personal information for as long as it is needed to provide the services you request, support your workflows, operate the WealthFlow platform, comply with legal obligations, resolve disputes, and maintain the security and reliability of our services.
When personal information is no longer required for these purposes, we delete it or securely dispose of it in accordance with our data retention practices, unless a longer retention period is required or permitted by law.
You may request deletion of your account and associated personal information by contacting us at privacy@wealthflow.ai. We will process deletion requests in accordance with applicable laws and our operational and legal obligations.
Security and Data Protection
WealthFlow uses administrative, technical, and organizational safeguards designed to protect customer information and platform access. Our infrastructure and practices include, where appropriate:

- Secure authentication
- Infrastructure monitoring
- Segmented environments
- Encrypted credential storage where applicable
No online service can promise perfect security, but earning and keeping your trust is central to how we operate.

You remain in control of your data.
